Privacy Policy

AITHEOS LLC ("Aitheos," "we," "us," or "our") operates the CoachPlate mobile application and website (together, the "Service"). This Privacy Policy explains how we collect, use, store, share, and protect your information. By using the Service you agree to this Policy; if you do not agree, please do not use the Service.

CoachPlate is used by two kinds of people: trainers (coaches who manage nutrition coaching for their clients) and clients (the people a trainer coaches). A client's logged information is visible to their assigned trainer. Trainers only see the clients on their own roster.

3. Information we collect

3.1 Phone number

We collect your phone number to authenticate your account, via Firebase Authentication (Google). It is linked to your account and not shared beyond the authentication provider.

3.2 Meal photos

When a client photographs a meal, the image is uploaded to Firebase Storage (Google Cloud) and sent to Google Gemini AI for automated nutritional analysis. Meal photos are stored in the client's account and are visible to the client's assigned trainer.

3.3 Voice and audio data

Trainers may record voice notes for clients and use voice-assisted client setup. Audio is captured from the device microphone and processed by Google Gemini AI. Voice notes may be stored and delivered to the relevant client. Client accounts do not require microphone access.

3.4 Health and fitness data

The Service stores calorie and macronutrient targets and intake, weight entries and trends, workout logs, and related coaching notes, all linked to the account and stored in Firebase Firestore (Google Cloud).

3.5 Profile and roster information

Trainers provide a name, business name, and city/state, shown to prospective clients in a trainer directory. Clients provide a display name.

3.6 Billing information (trainers only)

Paid subscriptions are handled on our website by Stripe. Payment happens on Stripe's checkout, not inside the app. We never receive or store your full card number. Stripe processes payment data under its own privacy policy; we store a Stripe customer identifier and your subscription status.

3.7 Usage and device data

We collect basic product-interaction data (app opens, session length, platform) and a Firebase user identifier to operate and improve the Service.

3.8 Early-access list (website)

If you request early access on coachplatetraining.com, we store the name, email address, and roster size you submit, plus a referral code if you arrived through a referral link. We use this information only to contact you about CoachPlate availability — no newsletters, and it is never sold or shared beyond the storage provider (Cloudflare). Email stephen@aitheos.com any time to be removed from the list.

6. AI processing

Meal photos and voice input are processed by Google Gemini AI to estimate nutrition and assist coaching. Nutritional values are automated estimates and are not medical advice. Clients see an in-app consent notice before their first AI analysis.

7. Data retention and deletion

We retain your information while your account is active. You can delete your account at any time in the app (Profile → Danger zone). Deletion removes your Firestore data, Storage photos, and Firebase Authentication account. Trainers may also deactivate a client, which stops new logging for that client. Backups and provider logs may persist for a limited period as part of normal operations.

8. Security

We use industry-standard measures including encrypted transport (HTTPS), Google Cloud infrastructure, and access rules that restrict data to the account owner and their assigned trainer or client. No method of transmission or storage is completely secure.

9. Children

CoachPlate is not directed to children under 13, and trainers are responsible for obtaining any required consent before coaching minors through the Service.

10. Your rights

Depending on where you live, you may have rights to access, correct, or delete your personal information. You can exercise deletion in-app, or contact stephen@aitheos.com for any request.

11. Changes to this Policy

We may update this Policy from time to time. Material changes will be posted here with an updated effective date.
